Lectern, cordless lavaliere microphone, a second microphone for the introducer, LCD projector for a PowerPoint presentation on an elevated tripod, projection screen, riser, (see attached AV needs for greater detail).
1. ROOM SET UP
Ý Theater Style
If you have more than 200 attendees, or it's a short presentation, please set the room theater-style and curve the seats inward so the participants can see each other. Round tables can work for this as well. The energy and "electricity" in the room are increased when audience members can see the reactions of each other.
Ý Classroom Style
If you have fewer than 200 attendees, or it's a longer presentation (2 hours or more), please set the room classroom-style (with tables). See the attached diagram for seating and stage set up.
Ý Riser
For audiences of 65 or more people, a 12-inch riser that is 60 feet long will enable Dr. Freiberg to have more impact.
Ý Stairs
In the event that a riser will be used, stairs located at center stage (1st choice) or side stairs (2nd choice) will enable Dr. Freiberg to mingle with the audience.
Ý No head table
or other obstacle between the lecurn and the audience. Dr. Freiberg appreciates the opportunity to connect with the audience by moving around and into the group, whenever possible.
Ý Lectern with space for an 8.5 x 11-inch notebook.
2. LIGHTING
Dr. Freiberg would like to have the benefit of full house lights on during the presentation and the screen area only as dark as possible.
People laugh more, participate more, and generally become more engaged when the room is bright. Also, Dr. Freiberg can read the audience better when she can see their faces and make eye contact. Unfortunately most meeting rooms only give you an option of extremely dark or extremely bright. In this case we usually ask an engineer to unscrew the canister lights above the projection screen. If you are using rear screen projection, this is usually not a problem.
Dr. Freiberg will use the full stage and occasionally move out into the audience. If the room as spot lights, set them for a general wash of the front of the stage and the first row of participants.
3. AUDIO VISUAL MATERIALS
Ý Two cordless lapel or lavaliere microphones. Dr. Freiberg would like the freedom to move on the stage and within the meeting room. (If the room & audience are small enough, a microphone will not be used.)
Ý Second microphone (hand-held or stationary) for the introducer.
Ý LCD projector for a PowerPoint presentation. The projector must be compatible with a Macintosh Powerbook G3 computer. We will provide the
computer and the remote controls. We prefer an InFocus model 6750 or other high-end projector. (For projector rental, we recommend Genigraphics. To order a projector for this event, call 1-800-762-5757 x250 for the Western USA or x269 for the Eastern USA)
Ý The projector should be placed on an elevated tripod and set up so the image is shot over people's heads and fills the projection screen.
Ý Projection screen large enough to be seen by every audience member. It is important that the bottom of the screen is visible from the back of the room. The screen can be centered directly behind Dr. Freiberg 's speaking area or positioned in a front corner of the room.
4. SET UP AND PRESENTATION
Dr. Freiberg like's to run through the slides, check sound equipment, and become familiar with the layout of the room about 75 minutes prior to the presentation. If that's not possible and you would like to make other arrangements, please let us know.
